Keep bad transactions from becoming bad months.

Most chargebacks are preventable, and most of the rest are winnable with the right paper trail. Here's how we help you set up both.

First, the basics

What a chargeback actually is.

A chargeback is a cardholder disputing a charge through their bank — the funds come back out of your account while the card networks referee. Some disputes are honest confusion, some are real fraud, and some are "friendly fraud" from customers who don't recognize a charge. Each type has a different defense.

Prevention & response

The setup that protects you.

  • A statement name they recognize

Clear billing descriptors stop the "what is this charge?" disputes before they start.

  • Receipts that leave a trail

Signatures, itemized receipts, and delivery confirmation are the evidence that wins honest disputes.

  • Screening on every sale

Address and card-code checks, velocity limits, and fraud screening on partner platforms flag risky transactions before they settle.

  • Encryption & tokenization

Modern platforms keep card numbers out of your systems, which keeps a breach from ever being your breach.

  • Alerts, not surprises

Dispute notifications and deadlines surfaced early, so responses go in on time with the right documents.

  • A person in your corner

When a dispute lands, your advisor helps you read it, gather evidence, and respond — you're not deciphering card-network codes alone.

The fine print, decoded

Reserves and representment, in plain English.

Rolling reserves

Some accounts — usually newer, high-ticket, or specialty ones — have a slice of each settlement held back for a period as the underwriter's cushion against future disputes. A reserve isn't a penalty, but it is cash flow: we make sure the percentage, the hold period, and the release terms are understood in writing before you board, never discovered on a statement.

Representment

Fighting a chargeback means filing a representment — an evidence package answering a specific reason code on a deadline. What wins honest cases: delivery confirmation, itemized receipts, a recognizable billing descriptor, and clear, published policies. Your advisor helps you read the code, pick the evidence, and file on time.
